Logistics Coordinator

As a senior company representative, the Logistics Coordinator role is accountable for all aspects related to transportation of equipment required for Whitewater projects.

Typical responsibilities of the Logistics Coordinator include:

  • Be the primary point of contact for all internal and 3rd party truck drivers for planning and dispatching loads.
  • Ensure driver safety through hours of service compliance and all other transportation related regulations and corporate policies.
  • Coordinate the monitoring of driver’s hours of service and assist in keeping track of log books (including pre and post trip inspections) and keeping driver files up-to-date.
  • Ensure drivers and 3rd party trucking providers maintain accurate log books, pre and post trip inspections, bills of landing and all required paperwork for transportation requirements.
  • Ensure all company owned trucks are maintained.
  • Retain information on all incidents, accidents, customer complaints, driver complaints, etc.
  • Coordinate with the Maintenance Foreman to bring in trailers for maintenance & regular inspection.
  • Act as liaison between the drivers and shop personnel for required repairs of equipment.
  • Gather documentation from the drivers.
  • Ensure all truck binders are complete and current (insurance and registration, safety documentation, CVIP, required permits, radio licenses, etc).
  • Spot check files for compliance and together with Maintenance Foreman will notify appropriate levels of management of any violations with the National safety Code.
  • Manage profitability by proactively planning the most cost effective and efficient loads.
  • Review and approve 3rd party trucking invoices.
  • Oversee all trucking tickets.
  • Available for after-hour dispatch requirements.
  • Dispatch drivers to job site locations with the correct directions and with any special instructions if required.
  • Advise drivers on road bands and weight restrictions.
  • Work with operations personnel to ensure ticket corrections are looked completed.
  • Maintain all records and record-keeping systems pertaining to loads ordered and hauled.
  • Participate in performance management of the drivers as well as any necessary disciplinary actions required.
  • Additional duties as assigned by direct manager.

An intermediate leadership level position developing the skill sets enabling a step change in knowledge and responsibilities resulting in superintendent competency level.   • Inventory Control – advise optimal levels, perform inventory counts, i.e. Cycle Counting quarterly.

Whitewater Management Ltd. currently has an opening for a permanent full-time position for a conscientious and professional individual to become an Accounts Receivable Clerk at our Calgary office.

Reporting to the Controller, the AR Clerk will be responsible for providing assistance to the accounting and projects departments.

DUTIES AND RESPONSIBILITIES:

  • Verifying and managing field ticket workflow using our operations software program, Aimsio (www.aimsio.com). This includes capturing third party charges (fuel, trucking, parts, etc.) and sign off on field tickets/billings by clients.
  • Managing client price lists in Aimsio.
  • Creating invoices as required by specific customer/job in Aimsio and uploading completed invoice into QuickBooks.
  • Working closely with manpower and equipment coordinators, project coordinator and field operations to ensure prompt and accurate billing.
  • Ensure billing is completed and reviewed daily for all ongoing jobs.
  • Entering invoices into client supply chain platforms as required (Ariba, Cortex, etc.) and monitoring invoices weekly to ensure they are being received and approved in the system and fixing issues when necessary.
  • Following up on past due invoices with customers weekly/bi-weekly and providing summary report to Controller.
  • Posting customer payments by recording cheques/EFTs in QuickBooks as received.
  • Completing month end close tasks as necessary to close by ~WD+9.
  • Protects organization's value by keeping information confidential.
  • Updates job knowledge by participating in educational opportunities.
  • Providing ad-hoc reporting and other tasks as assigned by Controller.

 

MINIMUM REQUIREMENTS

Skills, Knowledge, Experience and Education

  • College Diploma in Accounting or Business Administration or equivalent
  • Minimum 2 years experience of relevant accounting experience
  • Computer literate, including intermediate working knowledge of MS Word, Excel, Outlook and QuickBooks required
